CME Activity and Attendance Records Policy
1. Purpose
The purpose of this policy is to ensure that all online enduring CME activities provided by Hedarian are documented, archived, and retrievable in accordance with ACCME criteria and standards, as well as any applicable international regulations. This ensures transparency, accountability, and the ability to review and verify participation and compliance over time.
2. Scope
This policy applies to all employees, CME partners, contractors, and volunteers involved in the design, delivery, and management of online enduring CME activities offered Hedarian. It covers all aspects of activity and attendance records retention, including creation, storage, access, and disposal.
3. Definitions
- Online Enduring Continuing Medical Education (CME) Courses: Educational activities available online, designed to serve as self-paced learning opportunities that are accessible for a set period following the initial offering.
- Attendance Records: Documentation verifying the participation of individuals in CME activities.
- Activity Records: Documentation detailing the planning, content, delivery, and evaluation of CME activities.
- ACCME: The Accreditation Council for Continuing Medical Education
4. Policy Details
4.1 Retention Period
- Activity Records: Retained for a minimum of ten (10) years from the date of the activity.
- Attendance Records: Retained for a minimum of ten (10) years to allow participants to request transcripts and for the organization to respond to audits.
4.2 Record Contents
- Detailed description of the CME activity, including objectives, faculty information, and educational materials.
- Participation data, including the names of participants, their professional affiliations, and the credit hours awarded.
- Evaluations and feedback from participants.
- Information on commercial support and disclosure forms, if applicable.
4.3 Storage and Security
- Records must be stored in a secure, electronic format that ensures confidentiality and protection against unauthorized access, alteration, or destruction.
- Backup copies should be maintained in a separate and secure location.
4.4 Access and Confidentiality
- Access to CME activity and attendance records is restricted to authorized personnel.
- Requests for access by participants or external entities must comply with Hedarian's confidentiality policies and relevant regulations.
4.5 Disposal of Records
- At the end of the retention period, records will be disposed of in a manner that protects sensitive information from unauthorized access.
5. Responsibilities
- The CME Department is responsible for implementing this policy, including the maintenance, regular review, and updating of records retention practices.
- All staff involved in the delivery and administration of online enduring CME courses must ensure compliance with this policy.
6. Compliance and Monitoring
- Compliance with this policy will be regularly monitored through internal audits and reviews.
- Non-compliance will be addressed according to Hedarian's disciplinary procedures.
7. Review and Revision
- This policy will be reviewed annually and revised as necessary to remain aligned with ACCME requirements and international best practices.
